A. Choose your level & programme

Decide whether you are applying for an Undergraduate, Graduate (Master’s/PhD) or Professional/Short Course. Be explicit in the subject line of your email:

B. Files to prepare (scan as clear PDFs or JPEGs; label files: Surname_Firstname_Document.pdf)

Core documents for all applicants

  1. Valid passport biodata page (scan)

  2. Recent passport-style photograph(s)

  3. Completed application form or a short application letter stating programme & level (attach within email)

  4. Proof of payment of application/registration fee (if paid)

  5. Contact details: phone, email, current address

Additional documents — Undergraduate

  • Secondary school certificate / high-school diploma (scanned)

  • Full secondary school transcripts / results

  • Birth certificate or national ID (where applicable)

  • Proof of language ability (English or French) if available

Additional documents — Graduate (Master’s / PhD)

  • Bachelor’s degree certificate (scanned)

  • Full university transcripts (all years/semesters)

  • Curriculum Vitae (CV) / résumé

  • Two reference letters (academic preferred) — scanned or as PDFs

  • Statement of Purpose (SOP) — outline study/research objectives

  • Research proposal (required for research Masters/PhD)

  • Proof of language proficiency (if available)

Additional documents — Professional / Short Courses

  • CV (if course is professional)

  • Copies of relevant certificates or prior training

  • Short motivation note (1 paragraph) where requested

D. After sending — what to expect / follow-up

  • Request confirmation of receipt in the first 48–72 hours.

  • Ask admissions for: official fee schedule, visa support documents (for international students), deadlines for document legalization (if required), and any entrance test/interview dates.

  • If you’re an international applicant, ask whether transcripts require legalization or an apostille and whether certified translations (to English or French) are required.

Emailing Documents

  • Combine all attachments into one email or clearly list and number them in the email body.

  • Use readable filenames and ensure scans are legible.

  • If a document is missing, state it in the email and indicate when you will send it.

  • Keep copies of payment receipts and correspondence.

  • If you don’t receive an acknowledgment within 5 business days, resend politely to admissions@espamformation.org as primary.
